House on the Hill Pte. Ltd. (“HotH”) takes its responsibilities stipulated under the Personal Data Protection Act, 2012, Singapore (“PDPA”) seriously. We recognise the importance of safeguarding the personal data you have provided us and will responsibly manage and protect your data.

This Privacy Policy (“Policy”) applies to personal data collected, stored, disclosed and/or processed by HotH. This Policy describes the types of personal data we may collect from you, how we may use that information, and with whom we may share it. Our Policy also describes the measures we take to protect the security of the information you provide to us, including without limitation through this website. We also tell you how you can reach us to update your personal data, ask questions you may have about our personal data protection practices, and provide feedback on our personal data protection practices.

This policy supplements but does not supersede nor replace any consents you may have previously provided to us in respect of your Personal Data, and your consents herein are additional to any rights which any of us may have at law to collect, use and/or disclose your Personal Data.

References to “we,” “our,” or “us” herein refer to HotH, its subsidiaries and affiliates, business partners, associates, agents and/or employees.

1. Collection of Personal Data

In accordance with the PDPA, and for the purposes of this Policy, “Personal Data” refers to data, whether true or not, about an individual who can be identified from that data, or from that data and other information to which an organisation has or is likely to have access, including data in our records as may be updated from time to time.

Examples of Personal Data (depending on the nature of your interaction with us) include unique identifiers (e.g., NRIC or FIN number, passport number) as well as any set of data (e.g., telephone number(s), mailing address, photo or video images, voice) which when taken together would be able to identify the individual.

Generally, we may collect Personal Data from you or your child/ward in the following ways:

  • When you arrange for a visit to our school/centre;
  • When you submit an application for your child/ward to be enrolled with the school/centre or submit forms for school/centre activities;
  • When you interact with our staff (whether via telephone calls, letters, messaging apps, mails or during face-to-face meetings);
  • When you are contacted by, and respond to, our staff;
  • In the course of providing educational services to your child/ward;
  • When your or your child’s/ward’s images are captured by us via CCTV cameras while you are within our premises, or via photographs or videos taken by us or our representatives when you or your child/ward attend events hosted by us or any third party organiser we appoint;
  • When you request that we contact you, be included in an email or other mailing list; or when you respond to our request for additional Personal Data, our promotions and other initiatives;
  • When you submit your Personal Data to us for any other reasons.

Where you provide us personal data about other individuals (e.g., information of spouse, children, parents, friends, relatives, employees and/or authorised representatives), you represent to us that you have obtained the consent of the individuals to you providing us with their personal data for the respective purposes.

This policy does not apply to the practices of companies not owned or controlled by us or to people whom we do not employ or manage, nor does it address non-personally identifiable information. This policy does not apply to information collected at a web site of an affiliated company or business line that may be linked to this web site; in those cases, the privacy policy provided at that web site will apply.

2. Collection of Data from Our Website, Cookies

We also collect anonymous, aggregate information from all visitors to our site. This information is never linked to any personally identifiable information and is used in the aggregate to generate statistical reports about the use of our site.

This information is collected through cookies and other Internet technologies, such as web beacons or pixel tags, to track your use of our website. The information enables us to customise the services we offer and measure the effectiveness of our online content, advertising campaigns, and the products and services we offer through our website. By accessing our website and agreeing to receive our e-mail messages or newsletters, you agree that we can use these technologies on your device.

We have designed our site for parents and adults, not for children. We do not knowingly collect Personal Data from children who may visit our site. We recommend that parents monitor their children’s use of the Internet.

3. Purposes for Collection, Use, Disclosure and Processing of Personal Data

HotH may collect and use your information for any purpose not prohibited by applicable law. This includes, but is not limited to, the following purposes:

  • To verify your identity;
  • To process and respond to enquiries;
  • For school/centre or extra-curricular activity registration;
  • For maintaining student/waitlist records;
  • To process purchase transactions and provide products and services;
  • To facilitate and enhance your experience with us;
  • The taking of photographs and/or videos (whether by our staff or third party photographers and/or videographers) during events organised by us;
  • For school/centre communications;
  • For emergency contact;
  • To notify and provide special events, promotions and offers to you;
  • To provide you with personalised content on our websites and mobile applications;
  • To improve the content and navigability of our websites and mobile applications;
  • To compile data and conduct statistical or demographic analysis;
  • To protect and defend the rights or property of HotH;
  • To prevent, detect and investigate crime and manage the safety and security of our premises and services;
  • Investigating possible fraud, misconduct, unlawful action or omission, and utilising electronic access and video systems to maintain security of persons or property;
  • To conduct audits, review and analysis of our internal processes, action planning and managing commercial risks;
  • To respond and process other purposes for which you provided the information (e.g., to apply for employment);
  • Responding to requests from childcare regulators, medical providers, payment processors and financial institutions;
  • To comply with a court order, other legal process or other legal requirements of any governmental authorities;
  • Any other purposes which we may inform you of in writing from time to time, for which we will seek your separate consent.

4. Disclosure and Transfer to Third Parties

HotH does not sell personal data that we collect from individuals, including our website visitors. We will take reasonable steps to protect your or your child’s/ward’s Personal Data against unauthorised disclosure. We may disclose your or your child’s/ward’s Personal Data to third parties without first obtaining your consent in certain situations, for example:

  • where disclosure is required or permitted by applicable law and/or regulations;
  • cases in which the purpose of such disclosure is clearly in your interests, and if consent cannot be obtained in a timely manner;
  • cases in which the disclosure is necessary to respond to an emergency that threatens the life, health or safety of yourself or another individual;
  • cases in which the disclosure is necessary for any investigation or proceedings;
  • cases in which the personal data is disclosed to any officer of a prescribed law enforcement agency, upon production of written authorisation signed by the head or director of that law enforcement agency or a person of a similar rank, certifying that the personal data is necessary for the purposes of the functions or duties of the officer;
  • cases in which the disclosure is to a public agency and such disclosure is necessary in the public interest; and/or
    where such disclosure without your consent is permitted by the PDPA or by law;
  • where necessary, to our third party service providers, payment processors, agents, regulatory bodies and auditors in the ordinary course of our business;
  • Where you have authorised us to disclose your Personal Data to another party.

5. Personal Data of the Public and Other Third Parties Generally

HotH engages with the surrounding community, ecosystem, and society at large through various activities in which external stakeholders or the general public may participate.

Events may include community outreach courses, exhibitions, roadshows (local and international), extra-curricular activities, performances, and other activities (“Events”).

HotH may collect, use, and/or disclose personal data from members of the public for purposes such as:

  • Security and verification for certain Events;
  • Logistical and administrative purposes (e.g., catering, transportation);
  • Keeping attendees updated about future HotH Events or services that may interest them;
  • Marketing or publicity purposes (e.g., photographs);
  • Other reasonable purposes related to the environment within which HotH operates.

For Events where provision of personal data is a pre-requisite, participants will be informed in advance. Participants may refuse to provide personal data except where necessary for attendance.

HotH will not disclose public participants’ personal data to third parties without consent, unless disclosure is required or permitted under the PDPA or by law, including emergencies.

Participants may request to access, correct, or withdraw consent for their personal data at any time. Access and correction requests will be processed within a reasonable time, and corrected data will be shared with third parties to whom it was disclosed in the preceding year unless not legally required or consent is limited.

Withdrawal of consent may affect the participant’s ability to attend future Events, and HotH will notify participants of such impact in advance.

HotH will take reasonable measures to ensure public participants’ personal data is accurate, complete, and secure. Data will be destroyed when retention is no longer necessary.

HotH websites may contain links to third-party sites. Participants are encouraged to review the privacy policies of those sites.

Data breaches affecting public participants should be reported immediately to HotH senior management or the DPO.

6. Request for Access and/or Correction of Personal Data

You may request to access and/or correct your personal data by contacting [email protected]. HotH will respond within a reasonable time and may charge a reasonable fee for processing requests.

7. Management and Care of Personal Data

HotH will take reasonable and appropriate steps to protect your Personal Data against unauthorised access, collection, use, disclosure, copying, modification, disposal or similar risks. HotH will also take reasonable steps to keep your data accurate, complete, and updated.

We use encryption to protect sensitive information online. Servers are secured. We also make efforts to protect offline data.

8. Retention of Personal Data

Personal Data will be destroyed or anonymised when the purpose for which it was collected is no longer served or retention is no longer necessary for legal or business purposes.

9. Consent and Withdrawal of Consent

When you provide your personal data, you are deemed to have given consent for HotH to collect, use, disclose, and share within HotH, its service providers, and relevant third parties.

To withdraw consent, send your request to [email protected]. HotH will process it within a reasonable time and thereafter will not collect, use or disclose your personal data in the manner stated.

Withdrawal may affect HotH’s ability to provide services or maintain contractual relationships.

10. Notification of Changes

We may amend this Policy from time to time to ensure compliance with legal or regulatory requirements. Substantial changes will be posted on the main page.
